1. Who we are
Tanzaology Tours & Safaris is a tour operator based at Moshono, Losirwai, Arusha, Tanzania. In these terms "we" and "us" mean Tanzaology Tours & Safaris, and "you" means the person making the booking and everyone travelling on it.
2. Enquiries and quotations
Itineraries and prices shown on this website are illustrative. A quotation becomes binding only when we issue a written confirmation and invoice for your specific dates, party size and chosen accommodation. Quotations are normally held for 14 days, after which availability and rates may change.
3. Booking and payment
- A booking is confirmed when we receive your deposit and issue a written confirmation.
- A deposit of 30% of the total trip cost is payable on booking.
- The balance is due 60 days before arrival. For bookings made inside 60 days, the full amount is payable at the time of booking.
- Some camps, lodges, Kilimanjaro permits and peak-season dates require a larger or non-refundable deposit. Where that applies we will tell you in writing before you pay.
- Bank charges and payment-processing fees are payable by you.
4. Cancellation by you
Cancellations must be sent to us in writing. Charges are calculated on the total trip cost:
- More than 60 days before arrival — loss of deposit
- 60 to 30 days before arrival — 50%
- 29 to 15 days before arrival — 75%
- 14 days or fewer, or no-show — 100%
Where a supplier's own terms are stricter — as is common for mobile migration camps, scheduled flights and gorilla permits — those charges apply in addition. Gorilla and chimpanzee permits are generally non-refundable once issued.
5. Changes and cancellation by us
We plan itineraries far in advance and occasionally have to change them. Where a change is minor — a camp of the same standard, a reordered game drive — we will let you know but no compensation is due. If we have to make a significant change or cancel your trip, you may accept the alternative we offer, or take a full refund of monies paid to us.
We will not cancel your trip within 30 days of arrival except for reasons of force majeure or your failure to pay.
6. Force majeure
We are not liable for failure to perform where it is caused by events beyond our reasonable control, including war, civil unrest, terrorism, epidemic or pandemic, government action, border or park closure, industrial action, fire, flood, drought, exceptional weather, wildlife behaviour, or the failure of scheduled air services.
7. Travel insurance
Comprehensive travel insurance is a condition of travelling with us. Your policy must cover medical treatment, emergency evacuation (including helicopter evacuation from Kilimanjaro or a remote park), repatriation, cancellation and curtailment, and your baggage. If you intend to climb Kilimanjaro, your policy must cover trekking to the altitude of your chosen route. We may ask to see your policy details before departure.
8. Passports, visas and health
You are responsible for holding a passport valid for at least six months beyond your return date, for obtaining the correct visas, and for meeting any vaccination or health entry requirements. We are happy to advise, but we cannot be held responsible for a traveller refused entry or boarding.
9. Your safety and conduct on safari
Safaris and treks take place in wild, remote environments with genuine risk. You agree to follow the instructions of your guide at all times, particularly regarding leaving the vehicle, distance from wildlife, and altitude on trekking routes. We may, without refund, decline to carry or continue to carry anyone whose behaviour endangers themselves, other guests, our staff or wildlife.
10. Medical conditions and fitness
Please tell us at the time of booking about any medical condition, disability, dietary requirement or reduced mobility that could affect your trip, so we can advise honestly on suitability and make arrangements. Kilimanjaro treks in particular demand a good level of fitness.
11. Our liability
We accept responsibility for arranging the services described in your confirmed itinerary with reasonable skill and care. We are not liable for loss, damage, injury or delay caused by an event we could not foresee or avoid, by the acts of a third party unconnected with the services, or by your own act or omission. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud.
12. Photography
We may photograph trips for our website and social media. If you would prefer not to appear, tell your guide or email us and we will respect that.
13. Complaints
If something is wrong during your trip, please tell your guide or call our Arusha office immediately so we can put it right while you are still with us. If a matter remains unresolved, write to [email protected] within 28 days of returning home.
14. Governing law
These terms are governed by the laws of the United Republic of Tanzania, and the courts of Tanzania have jurisdiction over any dispute arising from them.
